Staff terms
Version 2026-10-07 · Last updated [date]
The short version
- Your staff account and PIN are yours alone. Don't share them, and switch in as yourself.
- Only confirm the door is checking IDs if it really is. You can always refuse to serve someone.
- Use guests' names and orders only to serve them.
- Refund and cancel only as your bar allows. Your bar pays out tips, not Beer Appear.
- You work for your bar, not for Beer Appear. Your bar's own rules apply too.
About these terms
These terms are between you and [company legal name] ("Beer Appear", "we", "us"). They apply when you use Beer Appear as a bartender, manager or owner at a bar: on a bar station (the iPad, tablet or computer behind the bar that shows orders), in the app or in the web dashboard. You accept them before you first use Beer Appear for a bar.
The bar you work at has its own agreement with us, the bar agreement. Your bar is your employer or the business you work with. These terms don't make you our employee, contractor or agent. When you order drinks as a guest, our terms of service apply, and our privacy policy explains how we handle your information.
Your account and PIN
- Your staff account is for you only. Keep your password and your bar station PIN to yourself, and don't use anyone else's.
- On a bar station, switch in with your own name and PIN. Orders you start and hand over are credited to you, and that's how your tips are worked out.
- If you think someone knows your PIN, change it under Account or ask an owner to reset it.
- Staff accounts can't order drinks as a guest. Use a separate account for your own orders. A bartender account works at one bar only.
Serving guests
- Follow your bar's rules and the alcohol laws where you work.
- Each night, a bar station asks whether the door is checking the ID of everyone coming in. Only confirm it if it's true. If it stops being true, tap Stop app orders.
- You can ask for ID at pickup, and you can refuse to serve anyone who is under age or who shouldn't be served more. If you cancel a paid order, make sure the guest is refunded, or ask a manager to do it.
Guests' information
Beer Appear shows you guests' names, what they ordered, where they ordered from and any note, so you can serve them.
- Use it only to serve their order.
- Don't copy, photograph or share it, and don't contact guests or look them up using it.
Payments, refunds and tips
- Managers and owners can cancel and refund orders. Do it only for genuine reasons and as your bar allows.
- Don't take payment for a Beer Appear order any other way, and don't place or refund orders to move money.
- Tips go to your bar with each order. Your bar pays them out to staff under its own policy and the law. Questions about your tips go to your bar.
Using Beer Appear fairly
You agree not to:
- move, copy or tamper with Beer Appear tags or bar stations;
- interfere with Beer Appear, get around its limits or security, or access it with bots or scrapers;
- use it for anything unlawful.
We may suspend staff access that breaks these terms, and let your bar know.
Your information
We keep a record of your role at each bar, the orders you started and handed over, your door ID confirmations, and when you accepted these terms. Your bar's owners and managers can see what you did in Beer Appear for their bar. Our privacy policy has the details.
When you stop working at a bar
Your bar removes you from its staff, and your access to that bar ends straight away. Your Beer Appear account stays, so you can still order as a guest. You can delete it at any time under Account › Delete account.
Liability
[To be written by a lawyer for your jurisdiction. It usually covers: the service is provided "as is", and a cap on Beer Appear's liability to you.]
Disputes and governing law
Questions about your job, pay or tips go to your bar. If you have a problem with Beer Appear itself, email us at [support email].
These terms are governed by the laws of [jurisdiction]. [Courts or dispute resolution process.]
Changes to these terms
If we change these terms, we'll update the version and date at the top. If a change is significant, Beer Appear will ask you to accept the new version before you next use it at work.
